About Subscription Management Portal

The Subscription Management Portal serves as a secure, customer-facing interface that centralizes subscription details, documents, and available actions in one place.

This document provides an overview of the portal, explains who can use, what customers see when they log in, and the actions they can take.

Availability and prerequisites

The Subscription Management Portal is available to clients who:

  • Have the CleverEssentials product package.
  • Use the Subscription Management 2.0 data model.

If you meet these prerequisites and want to enable the portal, contact Client Experience.

What customers see

When customers access the portal—usually through secure links in Cleverbridge subscription emails—they land on the subscription overview page. From here, they can review their subscription and take available actions.

Subscription Management Portal overview

Common UI components

  • Products – List of items in the subscription.
  • Documents – Combined view of pending payments, pending quotes, and invoice history.
  • Payment Method – Current payment method, with the option to update it.
  • Contacts – Billing, delivery, or licensee details.
  • Subscription Details – Start date, term, renewal status, remaining time, and next billing amount.
  • Primary Call to Action (CTA) – Changes dynamically based on timing and payment status:
    • Renew appears close to the next billing date.
    • Manage products (upgrade) appears earlier in the term.
    • Complete payment can replace these if payment is overdue (optional, per client configuration).

Renewal Type toggle

What customers can do

Depending on your configuration, the Subscription Management Portal can allow customers to:

  • Toggle automatic renewal on or off, using either a basic toggle or the enhanced cancellation flow with benefits, offers, and an exit survey.
  • Renew subscriptions:
    • Multi-step (“steps”) renewal – lets customers change product tiers, adjust quantities, add add-ons, apply coupons, and change the term before renewing.
    • One-click renewal – renews exactly as-is, skipping the selection step.
  • Upgrade subscriptions mid-term with immediate effect and pro-rated charges. Cannot change the subscription period.
  • View and accept quotes:
    • Renewal quotes – generated by you or by customers (if enabled) for approval before renewal.
    • Upgrade quotes – for scheduled changes effective at a future date.

Why it matters

By giving customers the ability to manage subscriptions without contacting support, you:

  • Improve the customer experience through fast, transparent self-service.
  • Reduce churn by using upgrade paths, coupons, and cancellation-save flows.
  • Lower support costs by reducing routine service requests.
  • Maintain consistent branding and user experience in a Cleverbridge-hosted environment.
